School Spirit Wear Fundraiser Guide: The Math, the Order Form and the Timeline

Run a school spirit wear fundraiser: profit math worked with real prices, a copy-ready order form, a six-week timeline and tips from setup to handout.

A spirit wear sale is the fundraiser people actually like. Nobody is asked for a donation; they buy a shirt they were going to wear to the game anyway, and the school gets the margin. This guide is the working version: how to pick a model, the arithmetic with real prices, a form you can copy, and the six weeks from "we should do shirts" to a table full of labeled bags.

If you want the short overview of spirit wear that builds pride and raises money, start with spirit wear that earns your program a share. If you have already chosen the storefront, the payment paperwork is on how a booster club earns from a storefront.

Choose your model first

Everything else follows from this decision, so make it at the first meeting.

Model 1: Pre-order and resell. Your group sets its own prices, collects orders and money for a fixed window, then places one order at our bulk prices and keeps the difference. More money per shirt, more volunteer work: someone handles payments, someone sorts and hands out.

Model 2: Group storefront. Your group gets a free storefront page with your designs on it. Families order and pay on our site at our listed prices, each order ships to the family's own address, and your group earns 10% of what the store sells as standard, paid to the organization by bank transfer at least every 90 days. Less money per shirt, almost no volunteer work, and it can stay open all season.

Many schools do both: a pre-order for the big fall push, and a storefront left open for late families, grandparents and new students.

The fundraiser math, worked through

Here is a real-sized fall pre-order for an elementary or middle school, using the prices the checkout charges today. All the arithmetic is in US dollars.

What families ordered during a two-week window: 72 Adult Tees (students in adult sizes, parents, staff), 26 Youth Tees, and 30 Adult Hoodies, all with one design printed on the front.

What it costs your group. Bulk prices are counted on each item's own pieces, across every color and size. 72 Adult Tees is past 50, so each is $9.03. 26 Youth Tees is past 24, so each is $14.91. 30 Adult Hoodies is past 12, so each is $25.64. Shipping is free.

Item Pieces Our price each Cost to the group
Adult Tee 72 9.03 650.16
Youth Tee 26 14.91 387.66
Adult Hoodie 30 25.64 769.20
Total 128 1,807.02

What families paid. The group chose round prices that are easy to collect: 20 dollars for either tee and 40 for the hoodie.

Item Pieces Group's price each Collected Raised per piece Raised
Adult Tee 72 20.00 1,440.00 10.97 789.84
Youth Tee 26 20.00 520.00 5.09 132.34
Adult Hoodie 30 40.00 1,200.00 14.36 430.80
Total 128 3,160.00 1,352.98

That is 1,352.98 raised on 3,160.00 of sales, before any sales tax on your order. A school or PTA with a tax-exempt certificate can send it to us, and once it is accepted we refund the sales tax.

The same 128 pieces through a storefront. At our listed prices (Adult Tee $14.38, Youth Tee $19.99, Adult Hoodie $37.99), families would have spent 2,694.80 in total, and the group's 10% share comes to about 269.48 (each order's share is rounded to the cent). Families pay less, nobody on your committee touches money, and the group raises about a fifth of what the pre-order did.

Three things the numbers teach

  • The youth tee earns the least. At 20 dollars it raises 5.09, because the Youth Tee costs more than the Adult Tee. Either price it higher than the adult tee, or steer older kids who fit an Adult S into the adult shirt. The youth XL vs adult small guide helps families choose.
  • Watch the price breaks. Bulk prices step at 12, 24 and 50 pieces of one item. In this example, 49 Adult Tees would cost $10.74 each, 526.26 in all; 50 cost $9.03 each, 451.50 in all. The fiftieth shirt makes the whole order 74.76 cheaper, so if you land just under a break, add a few spares in the most common sizes and sell them at the handout.
  • The hoodie carries the margin. One hoodie at 40 raised more than a tee and a youth tee together. Offering a premium piece matters more than adding a fourth or fifth item.

A back print, a sponsor list or a student's name on the back is one extra printed surface: the Adult Tee and the Adult Hoodie add $8.99 each, the Youth Tee $9.99. Price it into that item or keep the fundraiser design to the front.

The order form template

Whether it is paper in a backpack or a shared spreadsheet, the form needs the same columns. Copy this and fill in your own items and prices.

What the form should do, and why:

  • Name the deadline and the handout date at the top. Families decide faster when they know when the shirt arrives.
  • Tie each order to a student and a class. That is how bags get to the right kid without a parent coming in.
  • Circle sizes, don't write them. Handwritten "M" and "YM" are the most common mix-up in a school order.
  • Record payment on the form itself. At reconciliation you count forms against money, line by line.
  • Link the size chart. Custom prints can't be returned for a wrong size, so the chart is the cheapest insurance you have. Our size guide has measurements for every garment.

Prefer not to retype paper forms? A sizes link asks each person who the shirt is for and the size, with no account needed to answer, and one button adds the answers to your order. Nothing is paid on the link, so keep collecting money your usual way and tick payments off against the list.

A six-week timeline

Count back from the day you want shirts in hands. This plan assumes a handout on a Friday six weeks from your first meeting.

  1. Week 1: decide and design. Pick the model, the items (two or three is plenty) and your prices. Get the school's approval to use its name and mascot. Design it in the chat - see the next section - and save a picture of the mockup for your flyer.
  2. Week 2: open orders. Send the form and the mockup home, post it in the parent newsletter and the class group chats, and set a hard close date ten to fourteen days out.
  3. Weeks 2 to 3: remind. One reminder halfway, one two days before close. Most late orders come from the last reminder.
  4. Week 4, Monday: close and reconcile. Count forms against money. Chase anything unpaid before you order; with no minimum there is no reason to buy a shirt nobody has paid for.
  5. Week 4, Tuesday: order. Enter every size as one order. Your cart shows the dates the order should arrive before you pay. Production takes up to 10 business days after checkout, plus shipping, and there is no rush printing, so this is the step not to let slip.
  6. Week 6: sort and hand out. Bag by class with the form stapled to the bag. Sell any spares at the handout table.

If your date is fixed, such as homecoming or a spirit week, read ordering deadlines and timing and build in a few days of buffer after the latest date your cart shows.

Designing the shirt with the AI designer

Open the designer and describe the shirt the way you would to a parent volunteer who draws: "maroon tee, gold cougar head on the front, COUGARS in a heavy block font underneath, one color of ink." Or upload the school logo you already have. Then refine it in the chat: bigger mascot, try it on Sport Gray, add the year under the name. Every version shows on the real garment color, and designing costs nothing until you check out.

What sells in a school fundraiser:

  • A design an adult would wear on a Saturday. Parents are half your buyers. A clean mascot and name beats a busy collage.
  • The school colors, plus one neutral. Offer the shirt in the school color and in Sport Gray or Black; the neutral often outsells the color with adults.
  • One design across every item. It keeps the form short, and a tee, a youth tee and a hoodie in one design still count separately for bulk prices, so you lose nothing by mixing.
  • A year or a slogan only if you want a one-season shirt. "Est." and the founding year never goes out of date; "2026-27" does.

Tips from the handout table

  • Keep prices round. 20 and 40 make change easy at a table and look clean on a form.
  • Put the mockup photo everywhere. People buy a shirt they can see on a garment, not a description.
  • Offer staff and grandparents the same shirt. They are the easiest buyers you have, and adult sizes earn the most.
  • Do not copy a pro or college team's logo. Use your own mascot and name; borrowed marks are a trademark problem the school does not need.
  • Plan for the second wave. New students and late families always ask. Run a small second pre-order, or point them to a storefront so you do not have to repeat the whole process.
  • Ask about sales tax on your resale. How a school or PTA handles tax on what it sells depends on your state and district; ask your treasurer before you set prices.

Questions organizers ask

Is there a minimum order for a school fundraiser?

No. One shirt is a real order, so you can order exactly what families paid for. Larger orders get cheaper automatically: the Adult Tee is $10.90 each from 12, $10.74 from 24 and $9.03 from 50, counted across all colors and sizes of that item.

Can we use a discount code on top of the bulk price?

No. One code per order, and a code is not added to a bulk price: your order gets whichever of the two takes more off. On a fundraiser-sized order the bulk price is usually the bigger saving.

Can the shirts ship to more than one place?

Yes, up to 10 addresses on one order with one payment, for example one box per school building. The first address ships free; each further address adds its extra postage, shown in your cart. See shipping one order to several addresses.

Our PTA needs a quote or an invoice. Is that possible?

Yes. Your cart downloads a quote as a PDF, good for 30 days, and you can put your PO number on the order and pay by card or by invoice. See quotes and purchase orders.

What if a shirt arrives misprinted?

Send a photo within 30 days of delivery and we reprint or refund it. A size ordered wrong is not returnable, which is why the form links the size chart.

Should we run a storefront instead?

If your volunteers are stretched, yes. A storefront raises less per shirt but needs no money handling, no sorting and no handout, and it can stay open all year. See how a booster club earns from a storefront.
