Volunteer groups order differently than businesses do. Membership turns over on its own schedule, nobody has a budget line for apparel, and the person handling the shirts is doing it on top of everything else. A twelve-person book club and a veterans post both run into the same wall at most printers: a minimum order they cannot justify.

There is no minimum here, so the group orders what the group actually is.

Who orders and who pays

The club buys, members receive. The treasurer or one volunteer places one order and the club pays from dues or a grant. Simplest when the shirt comes with membership, like a running club's welcome shirt.

Members pay the club back. Works for small groups, but somebody ends up chasing money. Collect sizes and payment at the same meeting and order once.

Members order and pay for their own. For larger groups, or when the shirt is optional, a free group storefront is less work. Each member orders at the listed price and each order ships to that member, so nobody fronts money. If the group is an organization with an EIN, it earns 10% of storefront sales as standard, paid at least every 90 days to the organization's bank account (a W-9 and a signed agreement are needed first). Storefront orders do not get bulk prices, since each one is a separate order.

Paying by purchase order or invoice. Groups attached to a church, school or nonprofit often need paperwork. The cart makes a quote PDF good for 30 days, you can put a PO number on the order, and you can pay by card or invoice (card or US bank transfer). An invoiced order ships to one address. Tax-exempt organizations can send their certificate and the sales tax is refunded.

Collecting sizes without a spreadsheet

A sign-up sheet at a meeting misses everyone who was absent. Instead, send one link from collect shirt sizes:

  • A sizes link asks each person who the shirt is for and what size. It takes up to 300 answers.
  • A names link asks what should print and the size, for shirts with a name or number on each, up to 80 answers.

Nobody needs an account to answer and nothing is paid on the link. Post it in the group chat with a deadline, and one button adds every answer to your order. A size ordered wrong is not returnable, so letting members pick their own protects the club's money.

Sizing tips to pass along: the Adult Tee runs true to size with a little room in the body. The Long Sleeve runs smaller than usual and the Polo is trimmer through the shoulders, so size up if between. For youth members, youth and adult are not one continuous scale - size by fit, not age. Link the size guide right in the message.

Member, volunteer and officer shirts

  • Members get the everyday shirt: the club name and logo on the front, often a short line on the back ("Tuesday Night Runners - Since 2014").
  • Volunteers at an event need to be findable. Same design in a different, brighter shirt color, with "Volunteer" or "Ask Me" large on the back.
  • Officers and board members often want something to wear to a meeting, a fundraiser dinner or a talk to a sponsor. A printed Adult Polo with the logo on the left chest looks dressier without a separate design. The Polo comes in Navy, Red, Royal, Black, White and Athletic Heather.
  • Youth members of a mixed-age group (scouts, a homeschool co-op, a church youth group) get the same design on a Youth Tee or Youth Hoodie, in the same cart.

Ask Remi for the main design first, then for variations that change only the text or the placement. Each version goes in the cart in its own sizes and quantity.

Design ideas that suit a standing group

  • A logo that works small and large. It will end up on a left chest, a hat front and a tote. No logo yet? Ask Remi for a simple badge.
  • The founding year. "Est. 2009" gives a small club weight, and it never goes out of date.
  • One color the group owns. Keep the same shirt color year to year; the color guide shows how ink sits on each.
  • Print placement for what the shirt does. A front print for everyday wear; a back print when the group is seen from behind, like walkers at a 5K or volunteers at a booth. A back print beside a front print is one extra surface.

Adult Polo $25.63 front, back, left chest officers, events, presentations
Performance Tee $30.99 front, back running and walking clubs
Adult Hoodie $37.99 front, back, both sleeves outdoor groups, cold-weather events

Canvas Tote $13.33 front, back book clubs, market volunteers

Budget: what a club order costs

Bulk prices apply automatically in the cart, counted on each item's own pieces across any colors and sizes. They are where a club order saves the most:

  • Adult Tee: $14.38 for one; 12+ $10.90, 24+ $10.74, 50+ $9.03.
  • Adult Polo: $25.63 for one; 12+ $23.31, 24+ $19.98, 50+ $16.94.
  • Adult Hoodie: $37.99 for one; 12+ $25.64, 50+ $24.37.
  • Performance Tee: $30.99 for one; 12+ $18.77.

Bulk pricing counts each item separately, so twenty tees and four polos do not add up to a 24-piece price. Members who order through a storefront pay the listed price, not the bulk price. A first order can use WELCOME10 and a returning order REORDER10; one code per order, codes do not apply to polos, and a code does not stack with a bulk price - the order gets whichever takes more off.

For larger runs, Remi offers screen printing when it costs less than full color, starting at 24 of one design on one item. Screen-printed items ship to one address as their own parcel.

Recurring orders

New members join in spring, the hoodie order comes in October.

  • Keep the final design. Note the exact wording, shirt color and placement from your first order, and keep the logo file so you can upload it to Remi again. The artwork file prep page explains which files print best.
  • Order small top-ups. With no minimum, three new members can get their shirts without waiting for a batch of twelve.
  • Use REORDER10 on a returning order where a bulk price is not already doing better.

Timeline

Production typically takes up to 10 business days after checkout, plus transit; the cart shows expected delivery dates before you pay, and there is no rush printing. For an event, count back about four weeks: send the sizes link, give members a week, then order. A misprint gets a reprint or refund if you send a photo within 30 days of delivery. Faster shipping can be added at checkout for most orders to the 48 contiguous states. You can cancel within 12 hours after paying if printing has not started. See ordering deadlines and timing.

If members live far apart, one order can ship to up to 10 addresses: the first ships free, and each further address adds its extra postage, shown in the cart.

How to order with Remi

  1. Open the designer and upload the group's logo, or describe it: "a running club shirt, Carolina Blue, a sneaker crossing a sunrise, Tuesday Night Runners in bold letters."
  2. Refine by chat - bigger logo, a volunteer version, a polo version for officers.
  3. See it on every item you plan to order.
  4. Add sizes from your link and pay at checkout, or set up a storefront. Designing is free.

Questions about club and group shirts

Is there a minimum order for a small club?

No. One shirt is a real order. A book club of eight orders eight, and a new member next month orders one.

Can members pay for their own shirts?

Yes. Set up a free group storefront: each member orders and pays at the listed price, and each order ships to that member. An organization with an EIN earns 10% of storefront sales as standard.

How do we collect everyone's size?

Send a sizes link from the collect shirt sizes page. Each member enters who the shirt is for and their size, without an account, and one button adds the answers to your order.

Can officers get a different shirt from members?

Yes. Ask Remi for a variation of the same design - for example the logo on the left chest of an Adult Polo - and add it to the same cart as the members' tees.

Can our nonprofit pay by invoice and skip sales tax?

You can download a quote, add a PO number, and pay by card or invoice. Tax-exempt organizations send their exemption certificate and the sales tax is refunded. An invoiced order ships to one address.
