Collect Shirt Sizes and Names With One Link

One link collects each person's size, and the name or number to print if there is one, from a team, PTA, church or staff. Only you see the answers.

To collect shirt sizes from a group, make a link from your order and send it however the group talks. Each person opens it on a phone or computer and puts in their size, and the name or number to print if your shirts carry one. Only you see the answers. One button adds them to your order, and you pay once.

It does the job of the t-shirt order form, the sign-up sheet and the shared spreadsheet, whether it is a team jersey order, PTA spirit wear, staff shirts, a church's volunteer tees or a family reunion. Nobody retypes a name, and each size comes from the person who wears it.

Use a names link when each shirt prints the person's name or number, and a sizes link when the shirts carry your design and nothing personal. On an item that comes in one size, the sizes link becomes a head count: it asks who wants one. All three work the same way and have the same panel for you.

All three ask each person for an email address, so you can check an answer with them.

Any group ordering one design, where each person picks their own size. The person answering may be a player, a parent, an employee, a volunteer or a member, and the link is worded for any of them.

  • Teams and leagues. A coach or team manager collects each player's name, number and size for the team's roster shirts: a team jersey order form without the retyping.
  • PTAs and PTOs. Spirit wear with the design alone takes a sizes link; a club's shirts with each student's name take a names link. Students in youth sizes and adults in adult sizes need a link each. See PTA and booster club orders and schools.
  • Companies and offices. Collect shirt sizes from employees with a sizes link instead of a staff size survey, or put each person's first name across the back with a names link. See corporate event shirts and small business apparel.
  • Churches and ministries. Volunteer, choir, youth group and mission trip shirts, answered by members of every age. See church and nonprofit apparel.
  • Clubs, reunions and nonprofits. A running club, a scout troop or a volunteer crew (clubs and groups), or a family reunion with relatives answering from anywhere.

What can each shirt print?

Each person's name, their number, or both on the back, and a number can also go on the front. A names link asks for exactly what your names list prints, so choose the layout first. The back takes one of these:

  • Name: the name alone, straight across the shoulders. Staff, choir and volunteer shirts often want just this.
  • Number: the number alone.
  • Name + number: the name straight across, with the number under it.
  • Arched name + number: the name on an arch over the number.

On the front, a number can sit right under a left-chest logo, on every garment except the polo. A name never prints on the front of a garment. A number is one or two digits, 0 to 99: a jersey number, a class year such as 26, or years of service. Choosing Name turns numbers off, including the one under the logo.

The link then asks each person for their name and size, their number and size, or all three. A sizes link prints nothing of anybody's: it asks who each size is for only so you know whose it is.

Make a link from the item in your order, send it to the group, and add their answers with one button. Six steps:

  1. Design it and add it to your order

    Ask Remi, the AI designer in the chat, for your group's design, or upload your logo. Add it to your order in the item and color you are ordering, such as a navy Adult T-Shirt (Gildan 5000).

  2. Choose the link

    For names or numbers, choose Add names and numbers on the item, pick what prints, then choose Collect by link. For sizes alone, choose Collect sizes by link under the item's sizes. On an item in one size, choose Collect a head count by link.

  3. Make the link

    Type your group's name, which heads the form, and choose Make the link.

  4. Send it to the group

    Choose Copy and paste the link into a group text, an email, TeamSnap, ParentSquare or Slack, with the date you need answers by. Signed in, you can paste their email addresses and choose Email the request instead.

  5. Add their answers

    Come back whenever you like and choose Add their answers. Each press adds the new answers and updates the ones people changed since.

  6. Close it and order

    Choose Close it when everyone is in, check every name and size, and check out once. Paying at checkout closes the link too, so nobody answers a list that has already gone to print.

Each person sees a short page that works on a phone, with no sign-in and no app. It shows your group's name, the item with your design on the front where we can show it, and what you are ordering by brand and model, such as black adult t-shirts (Gildan 5000). It says that nothing is paid there, and that a parent or guardian should send a child's answer.

On a names link, each person fills in:

  • Name to print, set in capitals as they type, so they see it as it will print
  • Number, one or two digits, when your list prints numbers
  • Size, from the sizes that item comes in, in that color
  • Your email, required
  • Your name, optional, so you know who sent it

On a sizes link, they fill in who it is for first, their own name or a child's, required, with a line saying it is not printed, then the size and their email. On a head count link, the page asks Do you want one?, and they give who it is for and their email, with no size.

They choose Add to the list, or Count me in on a head count link, and can add another person's answer without typing the email again. The page then lists what was sent from that phone, with Change and Remove, until you close the link. On a shared tablet or office computer, Not you? Start fresh makes the page forget those answers, which still reach you. Nobody sees anyone else's answer, and nobody chooses the item or the color: those are yours.

Send the size guide with the link if people ask how the item fits.

How do the answers get onto your order?

You choose Add their answers, and each answer goes onto your order once, in a way that never takes a shirt off it. On a names link:

  • A new answer completes a row you typed for that name (or that number, on a list of numbers only) that still lacks what the answer brings: its size, or its number. On a list that prints names alone, the name is everything there is to match, so an answer goes on the row you typed with that name even if the row is complete, one in the answer's size first. If that row already had a different size, the answer's size wins and the list says so. If it had the same size, the list names it, so you can add a row if it was someone else with the same name. Otherwise it fills an empty shirt of its size, then any empty shirt, and only then becomes a new row. A row is empty when it has no name and no number.
  • A changed answer updates its row only while that row still holds what the answer put there. A row you edited is left alone, and the list says so.
  • An answer taken back after you added it shows as Removed by sender, with Take off the list beside it. Nothing comes off until you press it. An answer taken back before you added it is never added.
  • Two answers alike, the same in what the list prints (the name and number, or the name or the number alone), are marked as the same as another answer. That is fine if it is right.
  • One list holds 80. Answers that do not fit stay marked New until you make room or start a second item.

On a sizes link, each new answer adds one to its size on the item, and on a head count link one to the item. A changed size moves that one item to the new size, and an answer taken back has Take one off beside it. Where you changed a count by hand, the sheet leaves it for you and says so.

Each answer shows who sent it and when, and whether it is new, on the list, changed or removed. You can correct any row yourself before you save. When you open your order again, Remi says in the chat if new answers are waiting, and the item shows how many.

Save the list and the link stays with it. Signed in, your order and its link open on any device you sign in on; signed out, they live in this browser. This browser also remembers a names list's link for 60 days, and offers it again when you open the names list for the same item and color.

Then check every name against your roster or sign-up list. We print every name and number exactly as entered, in capitals: letters A to Z, spaces, hyphens, periods and apostrophes, up to 22 characters, with accents dropped, so Muñoz prints as MUNOZ. A misspelling on the list is not a misprint; see the print quality policy.

How do you see who is left?

A line under the link says who is left, such as "17 in, 2 not on your list yet: press Add their answers. Waiting on 3 invited people; GARCIA and LEE still need a size." Copy reminder puts a reminder with the link on your clipboard for the group chat. It names nobody, so nobody is singled out.

Signed in, you can have us email the link instead. Paste the group's email addresses, up to 80 on a names link and 300 on a sizes link, and choose Email the request. Each person gets one email under your account name, with the item, the color, your design and the link, and their replies go to your own email address. Being sent one never signs anybody up for anything, and every request has an unsubscribe link that stops size requests to that address from anybody.

The panel then lists who you invited, marked Answered or Not yet, with when each was emailed. Remind who has not answered emails everyone still to answer: once a day per link at most, and no more than three reminders to each person. However many groups invite an address, it gets no more than two size requests and reminders a day and five a week. Anyone not emailed is counted in the line under the panel with the reason, such as already answered, or that we could not email them and you should send them the link yourself.

Can you get an email when people answer?

Yes, when you are signed in. We email your account's address about each link: new answers and changes, each at most once an hour, and a daily summary while the link is open, for up to 30 days after you make it. The summary names who you invited and has not answered, and which rows on your list still need a size.

All three start on. Each one turns off on its own, under Email me in the link's panel or with one click from the email itself. Make a link signed out and it works the same, but nobody is emailed about it until you sign in and open its panel.

Who sees the answers?

Only you, the organizer. The people answering never see each other's answers or email addresses, and the link never shows anybody's name. A link, its answers and the addresses you invited are deleted 13 months after you make it.

The form has one box, unticked: "Don't send me offers from AI Promo Design." Left unticked, we may send that person occasional offers, each with an unsubscribe link. Ticked, we don't. Answering never turns offers back on for an address that unsubscribed. The privacy policy has the details.

What does it cost?

The link costs nothing, and names and numbers are free. Each item's price includes one printed surface:

  • Names and numbers on the back of an otherwise blank shirt are the shirt's price.
  • With your design on the front, the back is one extra surface: $8.99 to $10.99 depending on the product.
  • A number under a left-chest logo shares the printed front, so it adds nothing.
  • A sizes link prints nothing personal, so each item is its usual price.

Bulk prices count each item's own pieces across sizes. The Adult T-Shirt (Gildan 5000) is $14.38 each, or $10.90 each from 12. The Youth T-Shirt (Gildan 8000B) is $19.99, and its bulk price starts at 24.

Shipping is free to one US address. A shirt with a names list ships whole to one address, even when the rest of the order goes to several (shipping to several addresses). If a school or company office needs paperwork first, your cart makes a quote PDF for a purchase order, valid 30 days (quotes and purchase orders).

Use a list or a link when you pay once for everyone, and a storefront when each person pays for their own.

Common questions

Do people need an account or an app to answer?

No. The link opens in the browser on any phone or computer, and nobody signs up, downloads anything or pays on it. Each person gives an email address so you can check an answer with them. You need no account to make the link either, only to have us email it.

Can one person send answers for several people?

Yes. After sending one, they choose Add another name, or Add another size on a sizes link, and the email stays filled in. A parent can send for two children, or an office manager for a whole desk. Each answer stands on its own, with its own Change and Remove.

Can someone change or remove an answer?

Yes, from the phone or browser they sent it from, until you close the link. Their page lists what they sent, with Change and Remove. A change reaches your order the next time you choose Add their answers, unless you changed that row or count by hand.

What if the name is a child's?

A parent or guardian should send it, and the link says so. Only you see the answers. The name prints in capitals exactly as sent, so check it against the registration or class list before you order.

Why did someone not get the emailed request?

The line under the panel says why for each one not emailed: they already answered, already had the request, were emailed in the last day, or had every reminder we send. On a busy day a request can wait until tomorrow, and the line says to press Remind then. Some cannot be emailed at all, and then the line asks you to send them the link yourself.
